Project Coordinator

About us

ViTalent Engineering Oy is a Finland-based company providing engineering and technical project services, with a focus on IT infrastructure, data centre projects, and related implementation and support services. We work with business customers and project partners to meet their technical and operational needs.

We are looking for a Project Coordinator to support customer communication and the day-to-day coordination of our service and subcontracting projects.

Your responsibilities

· Receive and document customer requirements and share them with the relevant project and technical personnel.

· Coordinate meetings, schedules, and follow-up activities with customers and project partners.

· Track agreed project milestones and outstanding tasks, and report delays or issues to the responsible person.

· Maintain project documentation, meeting notes, customer correspondence, and delivery records.

· Support the handover of customer information from business development to project delivery.

· Keep customers informed of project progress in cooperation with the technical team.

· Follow up on customer enquiries and feedback, and coordinate responses with colleagues.

· Assist with the preparation and organisation of quotations, orders, and project-related documents.

The role focuses on customer communication and project coordination. Technical decisions and approval of technical deliverables remain with the responsible technical specialists.

What we are looking for

· Experience in customer service, project support, business administration, operations, or a similar coordination role.

· Strong organisational skills and attention to detail.

· Clear communication skills and a customer-focused approach.

· Ability to manage several tasks, follow deadlines, and maintain accurate records.

· Confidence using office software and online communication tools.

· Ability to work independently and cooperate with colleagues from different professional backgrounds.

· Fluent in English, both spoken and written.

· Chinese language proficiency is a plus.

Experience supporting technical service projects or working with international customers is an advantage.
